Our client, a leading provider of facilities services in the UK, is seeking a Scheduler / Service Coordinator to join their operational team.
Job Overview
This role sits at the centre of day-to-day operations, playing a key part in ensuring work is allocated efficiently, priorities are clearly understood, and service deadlines are consistently met. The Scheduler supports the smooth coordination of engineers, supervisors, and client requirements within a fast-paced environment.
You will be part of a supportive and collaborative scheduling team where organisation, communication, and teamwork are essential. The role is well suited to someone who remains calm under pressure, enjoys problem-solving, and takes pride in maintaining accurate systems and strong working relationships.
Key Responsibilities
- Review daily breach reports, identifying urgent or early breaches and escalating critical issues to the Team Leader or Supervisor.
- Allocate work orders to engineers, ensuring clear priorities and efficient use of available resources.
- Manage breaches and SLAs by working jobs in deadline order and escalating at-risk work with a clear resolution plan.
- Maintain accurate and detailed job notes, ensuring statuses are correctly updated across scheduling systems.
- Liaise regularly with engineers, supervisors, and colleagues via phone, email, and Microsoft Teams to ensure work progresses smoothly.
- Review returned jobs in Maximo and PSO, ensuring they are acknowledged, updated, and clearly initialled.
- Manage Planned Preventative Maintenance (PPM) activity by reviewing daily reports, filtering key data, and supporting effective scheduling.
- Maintain clear end-of-day notes and provide thorough handovers to support continuity between shifts.
Person Specification
- A positive, can-do attitude with strong and clear communication skills.
- Excellent organisational skills with strong attention to detail.
- Ability to remain calm, focused, and effective in a fast-paced working environment.
- A team-focused approach with a willingness to support colleagues.
- Confidence using Microsoft Office, particularly Excel and Outlook.
- Experience using scheduling systems such as Maximo or PSO.
- Previous experience in a scheduling, coordination, or service desk role.
- Strong understanding of working to SLAs and tracking performance against deadlines.
